This Privacy Policy explains what information PinFixIt ("we", "us", "our") collects when you use the PinFixIt app and website (the "Service"), and how we use it. It covers registered users, technicians, and the general public who submit a ticket report by scanning a game's QR code without an account.
1. Information we collect
Account information
When you sign in with Discord or Google, we receive your name, email address, and avatar from that provider. Demo accounts are created without an email or password and are temporary.
Location and operational data
Data you or your team enter to run your locations: location details (name and address), games, ticket reports and their comments, technician assignments, and income entries. This data belongs to the location's admins and technicians who have been granted access to it.
Ticket reports from the public
Anyone can scan a game's QR code and submit a repair report without an account. That form collects an email address (so the location can follow up), an optional name, and the message describing the issue. This information is shared with the admins and technicians of the location that game belongs to.
Discord integration data
If a location connects our Discord bot, we store the Discord server (guild) ID, forum channel ID, and the Discord user ID and username of whoever completed the integration, so tickets can sync between PinFixIt and that server's ticket forum.
Billing information
Subscription payments are processed by Paddle.com as our merchant of record. We receive subscription status and billing metadata from Paddle; we don't receive or store your full card number.
Usage and analytics data
On our marketing website, we use PostHog to understand traffic and which calls-to-action people click — this includes page views, referrers, coarse device/browser information, and click events on specific buttons/links. We don't use this data to identify individual visitors by name.
Cookies and session data
The app uses a cookie to keep you signed in between visits. We don't use advertising or cross-site tracking cookies.
2. How we use information
- To operate the Service — authenticating you, storing your locations/games/tickets/income, and routing ticket reports to the right admins and technicians;
- To process subscription payments and manage billing, through Paddle;
- To provide the Discord bot integration you've opted into;
- To send account and service-related communications (e.g. billing notices, security alerts);
- To understand aggregate usage of our marketing site so we can improve it; and
- To detect, prevent, and address abuse, fraud, or technical issues.
We do not sell your personal information.
3. How we share information
We share data with the following categories of service providers, only as needed to run the Service:
- Discord and Google — for authentication and, for Discord, the optional bot integration;
- Paddle — for subscription billing and payment processing;
- MongoDB Atlas — our database host, where application data is stored;
- PostHog — for website analytics.
Within the app itself, ticket reports, income entries, and other location data are visible to the admins and technicians of that specific location — that's how the Service is meant to work. We may also disclose information if required by law, or to protect the rights, safety, or property of PinFixIt or others.
4. Data retention and deletion
We keep your data for as long as your account and its locations are active. You can delete your account at any time from account settings. Doing so:
- Cancels any active subscription;
- Permanently deletes any location where you're the sole admin, along with that location's games, ticket reports, income records, and Discord integrations; and
- Removes your membership from any other location you're part of, without affecting that location's data for its remaining admins and technicians.
This action is permanent and can't be undone.
5. Cookies
We use a session cookie required to keep you logged in, and, on the marketing site, cookies/local storage set by PostHog for analytics. You can control cookies through your browser settings, though blocking the session cookie will prevent you from staying signed in.
6. Children's privacy
The Service is intended for business operators, technicians, and the general public reporting a game issue — it isn't directed at children, and we don't knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we'll delete it.
7. Data security
We use reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS) and access controls scoped to location membership. No method of transmission or storage is 100% secure, and we can't guarantee absolute security.
8. Your choices
- You can review and correct your location data directly in the app.
- You can delete your account and its data at any time from account settings, as described above.
- You can email us to ask what data we hold about you or to request deletion outside the app.
9. International users
PinFixIt is operated from, and our infrastructure is hosted in, the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States.
10. Changes to this policy
We may update this Privacy Policy as the Service evolves, especially while we're in beta. We'll post the updated policy here with a new "Last updated" date, and where a change is material, we'll try to let active accounts know.
